Working in InCopy

InCopy has many of the great features included in the Creative Suite software including the new icon-based panel system and three workspace views which make creating and revising text, graphics and design layout an easy process. All three workspace views are completely customizable and you can save your favorite workspace layouts for reuse. To speed up the production process, InCopy has many prebuilt templates with preset styles and specifications for column dimensions, number of words, lines and pages. For those publishers still dependent on MicrosoftR Word to create drafts of the copy text, InCopy has an easy-to-use style mapping feature for importing Word documents while maintaining preexisting styles.

The Layout view most closely matches that of InDesign and gives the copy writer/editor a visual of how the copy and text will fit together within the design layout. As mention before, the frames associated with an assignment are indicated by the color-coded outline and the icons at the top of these frames indicate the status of the assignment such as checked in, checked out or out-of-date. As the writer/editor works with the frame's contents, a Copyfit Progress Info box, which is located at the bottom of the workspace, continually updates to indicate the status of the copy. The indicator turns red while the text is over the requirement, blue means under and green indicates the requirements have been met.

The Galley view is a modified text editor which displays the text simulating the design layout but without any graphics. Only the text and line breaks corresponding to the placement of the graphics are indicated. This allows the writer/editor to see how the text will wrap along the edge of an image yet still work within a text editor environment. As copy is revised, all changes are tracked. A line through the text indicates what text has been deleted and changes in the text are highlighted.

The Story view is most like a text editor in that it does not reflect the effects of graphics or the design layout. Most CS3 features specific to text editing are include in InCopy such as Quick Apply, text variables, and paragraph styles for formatting tables and bulleted or numbered lists. The new powerful Find/Change search feature allows you to make changes throughout the entire document or control which parts of the document are to be revised by the search. You have the option to use the many built-in searches or you can create your own search criteria which you can then save for reuse. This can be a great timesaving feature. For example, you can use the same product catalog for several countries which have different monetary denominations simply by revising the prices in the catalog with the Find/Change feature. Text variables allow you to maintain repeating elements such as titles, headers and footers. Paragraph styles preserve consistancy in formatting throughout large, multi-part documents.
