Controlling Pagination - Excel

When you have a multi-page report, it may be important to control where each of the pages break. For example, you have a report that is sorted by responsibility centers and you want the report to break at the last record for each center. By default, Excel will position the page breaks based on the number of printable lines. The default page breaks can be manipulated to be positioned where you need them. Furthermore, you can add or remove page breaks as necessary.

Page breaks are controlled through the page break preview feature. The page break preview can be accessed to ways:
• Print Preview – Click on the Page Break Preview button
• Main Menu – View | Page Break Preview

When in the page break preview view, the worksheet will display dashed blue lines to indicate where each of the automatic page breaks are located. To change the location of a page break, hover your mouse pointer over the page break that you want to relocate, when you see the cursor display a double pointed arrow click holding your mouse key down and drag it to the new position. When you move an automatic page break it converts to a manual page break and is displayed as a solid blue line.

To insert a manual horizontal page break, select the row directly below where you want the page break to occur. Click on the grey row indicator to select the row, then select Insert | Page Break. To insert a manual vertical page break, select the column directly to the left of where you want the page break to occur. Click on the grey column indicator to select the column, then select Insert | Page Break.

To remove a page break, drag the page break off of the print area.

To restore the original pagination, right click on any cell in the print range and select Reset All Page Breaks.
